Most of Temple University's reporting and business intelligence needs are delivered using Cognos and made available through the online Cognos reporting environment and TUportal as community reports. They are called community reports because they fulfill the needs of specific groups of users; e.g., academic advisors or business managers. In most instances, these community reports will meet your needs. You can review the Community Report Descriptions on the TUportal's Unified Resource Center page. Log on to the TUportal, click on the Help icon in the top right corner then click on Cognos - Reporting.
If you cannot find a report to meets your need, you can submit a request for custom report development. Each of the four modules of Banner – Advancement, Finance, Human Resources, and Student (including Financial Aid) have an associated Competency Center comprising both functional and technical (Computer Services) personnel who develop reports, dashboards, and data extractions. In addition, Institutional Research and Assessment (IRA) provides data extraction support to selected offices.
Authorized Temple faculty or staff members, as identified by the appropriate data steward and/or school/college or administrative department management, can generate and view Cognos reports and also request development of custom reports/data extractions.
In order to have access to Cognos community reports and/or data packages used in writing reports, your manager and the authorized data steward must grant you appropriate access.
If you are granted access to write your own reports using Cognos, you must also complete a training session offered by Computer Services.
To get access to administrative systems, see Administrative Systems Access
To request a custom report, submit a request through the Request Help tab on the Computer Services home page containing detailed requirements. Allow ample time for the report/data extraction to be completed. Your request will be routed to the appropriate Competency Center for assignment.
The assigned report development team will acknowledge a reporting and business intelligence request within two business days. As a follow up, you will be asked to provide the following information:
- The type of output needed
- Actions or decisions to be made as a result of information contained in the report or extract
- Detailed requirement specifications including Banner form and field names where applicable
- Detailed requirements for data outside of Banner
- Necessity for inclusion of private information such as social security numbers or grades
- Frequency of report generation
- Realistic date report is needed
During the development process, you will need to:
- Correspond and meet with the assigned report development team throughout the project.
- Present the needs and requirements of the user in a concise manner
- Share data with the report development team through TUsafesend.
- Participate in timely testing and validation of reports or output.
- Provide sign-off that the project meets mutually agreed upon requirements.
It is important to plan ahead and take development time into account. Computer Services, the Competency Centers and IRA cannot set a standard, fixed amount of time and effort necessary to complete report development and data extraction requests. The requester and project manager from the report development team must negotiate the time and effort for each unique request.
Some projects will require that the requester’s department obtain a software license in order to be permitted to run a report. Software licenses for running Cognos community reports via TUportal are absorbed by Computer Services and there is no cost to the requester’s department.
Advanced users may have access to develop their own reports using Cognos report development software - Cognos Report Studio or Cognos Query Studio. These software packages require a license and are in limited supply. Users should discuss their report writing needs with their management and Computer Services.
Customers can submit a support request through the Request Help tab on the Computer Services home page or contact the Competency Centers or IRA (Institutional Research and Assessment ) personnel directly to ask questions or report problems.
